Request for Funds
All requests for funds must be submitted electronically on a designated “Request for Funds” google form designed by the board. The athletic director will serve as a liaison and will communicate with all coaching staff and will work with all coaches to submit a request form, as needed, by the corresponding seasonal deadline. Coaching staff for club sports (e.g., Equestrian Team, Trap Team, Boys Volleyball) should submit a form on their team’s behalf. In the case where a team does not yet have a coach assigned, the athletic director will submit a form on the team’s behalf.
Seasonal deadlines for High School,
Middle School, and Club Athletics:
June 1: Fall Sports
September 1: Winter Sports
January 1: Spring Sports
Requests for funds should include the following information:
Name of coach and team.
Include all details of the request.
Include the timeline of need.
Include the financial amount of the request.
Describe purchasing details, ventor details, payment method, and responsibilities.
List other fundraising attempts to help support team needs.
Demonstrate need vs nice to have.
If a written “Request for Funds” was not submitted by the seasonal deadline, it may receive consideration at a scheduled monthly meeting provided that:The need was not known at the time of the annual meeting.
The Athletic Director provides appropriate reasons as to why it was not known.
If an individual or activity spends money in anticipation of the FAB approval, the FAB is in no way obligated to reimburse that individual or activity.
Approval of Request of Funds
The board will vote on each request for funds proposal using a majority vote. Upon approval of a request for funds, the treasurer will issue a check within a reasonable amount of time.
Equalization of Funds Distributed
The board will make all possible efforts to provide equal distribution of FAB funds to all Fennville athletic teams so that one team, coach, or program does not receive a disproportionate amount while other programs are in need.
Prioritize Need vs Want Requests
The board will make all possible efforts to prioritize requests for funds that meet student athlete, team, and program needs first and those requests that are ‘wants’ or ‘nice-to-have’ items second.
LIMITATIONS TO UTILIZATION OF FUNDS AS A 501(C)(3) ORGANIZATION
No part of the earnings that are collected by FAB shall benefit or be distributed to individuals on the board or other private individuals except for services rendered to the FAB.
No part of the earnings that are collected by FAB shall be utilized for carrying on propaganda or attempting to influence any political campaign.
No part of the earnings that are collected by FAB shall be utilized to benefit private interests, organizations, or private fundraisers or donations.
The corporation shall not discriminate on the basis or race, religion, color, sex, age, national origin, or disability, in its activities, policies, and programs. The corporation shall comply with all applicable federal, state, and local laws and regulations pertaining to equal opportunity and non-discrimination.
